6. Project Archiving and Data Storage

Once a project is completed, project files are archived on an external hard drive for record-keeping purposes. This drive is kept securely and is not connected to any public network when not in active use.

 


7. Physical Documents

We rarely print physical documents. In the event that printed material contains sensitive or personal information, it is securely shredded once it is no longer needed.

 


8. Workstation and Physical Security

Our workstations are located on private property with CCTV coverage, helping to protect physical access to devices and any data stored on them.

 


9. Password and Access Security

Where passwords are used to access client accounts, systems, or files, a unique password is used for each client. Passwords are never reused across clients, reducing the risk of any single credential compromising multiple projects.

 


10. Transmission of Sensitive Material

Any sensitive or confidential material is always sent and received using encrypted methods, to protect it in transit between us and our clients.

 


11. Portfolio Use

From time to time, we may wish to display completed projects in our portfolio (on our website, social media, or in pitches to prospective clients). We will always ask for your permission first, and will only display what you are comfortable sharing. If you would prefer your project not to be featured, or wish for a previously featured project to be removed, please contact us and we will action this promptly.

 


12. Data Retention

We retain client data and project files only for as long as reasonably necessary — for archival, legal, or ongoing business purposes — after which it will be securely deleted or destroyed.

 


13. Your Rights

Depending on your location, you may have rights over your personal data, including the right to:
